  1. Use of Service & Liability

    The customer agrees and acknowledges that use of the service offered by Carsphere is at the sole risk of the customer. The liability of Carsphere is excluded to the fullest extent permitted by law. A customer can rent a vehicle under the Carsphere platform for tourism purposes only.

  2. Documents Required

    • Driving Licence and Aadhaar Card issued by an authority or institution.
    • Profession details are mandatory on the Carsphere platform.
    • Without profession details the customer is not eligible to rent a vehicle.
    • Email your driving licence, Aadhaar and profession details to supportcarsphere@gmail.com.

    In the absence of any valid ID, ₹500 will be deducted as per our cancellation policy.

  3. Age Requirement

    • Minimum 21 years for normal vehicles.
    • Minimum 24 years for premium range vehicles.
  4. Over-Speeding Charges (exceeding 80 km/h)

    • A penalty of ₹200 shall be charged for each instance.
    • An additional penalty of ₹500 shall be charged for multiple instances of speed violation.
  5. Refundable Security Deposit

    • ₹2,000 for Hatchback / MPV / MUV / Sedan · ₹3,000 for SUV.
    • ₹10,000 for Premium Range Vehicles (Audi, Mercedes, BMW).
    • Security deposit will be refunded within 24 hours of trip completion.
  6. Kilometre Limitation

    • 350 km offered to the customer for a 24-hour booking and 200 km for a 12-hour booking.
    • Restricted regions: any deroute from the shared destination/route and prohibited districts of Malkangiri, Phulbani, Koraput, Similipal will incur a penalty of ₹5,000 and no RSA will be applicable on the booking.
    • Outside Odisha: the customer must inform us in advance if planning to travel outside Odisha. Otherwise a penalty of ₹10,000 applies.
  7. Prohibited Use

    • Customers are not allowed to carry arms, ammunition, banned drugs or mortgaged items. Use of the car for commercial activity such as product sales/promotion or carrying goods is strictly prohibited — a penalty of ₹10,000 along with legal convenience charges will apply.
    • For any speed race competition or for the purpose of towing, pushing, or marriage processions.
    • For the primary business purpose of transporting people or operating a taxi.
    • By any person under the influence of alcohol, drugs, or medication under the effects of which the operation of a vehicle is prohibited or not recommended.
    • Only the renter is authorised to drive the vehicle. If any other person is found driving the vehicle, or if the vehicle is sublet, the security deposit will be forfeited.
    • Smoking, drinking, pets and other types of drugs are not allowed inside the car. Any such evidence found inside the car is chargeable at ₹2,000.
  8. Roadside Assistance

    Carsphere makes reasonable best efforts to provide Roadside Assistance in all cases. However, if the need for RSA results from a breach of these T&C, the user may be charged the full cost of the service.

  9. Fuel Policy, Tolls & Late Charges

    • If the customer exceeds the time limit without informing us at least 6 hours before the scheduled drop, a fine of extra ₹150 (Hatchback), ₹200 (Sedan) or ₹250 (SUV) per hour applies.
    • Extensions are subject to availability of vehicles.
    • The renter must return the vehicle at the same fuel level as it was at pickup/delivery.
    • Toll recharges will not be reimbursable under any circumstances.
  10. Insurance & Damage Charges

    • The company will not be responsible for any damage during travel. The renter must bear the repair charges.
    • Insurance claims are applicable for damage or repair charges above ₹40,000 for normal-range vehicles and ₹80,000 for premium-range vehicles. Any excess charges apart from the claim amount will be payable by the renter. The renter must bear rental for the idle period — estimated by Carsphere from the drop-off time until the vehicle is restored under the insurance claim — at the base price as booked.
  11. Telematics & Tracking

    Vehicles registered with Carsphere may be continuously tracked using advanced telematics for security reasons as deemed fit by Carsphere. Any tampering with mechanical/electrical telematics may be penalised and legal action taken against the renter, along with a fine of ₹10,000.

  12. Cancellation Policy

    • ₹500 will be deducted on cancellation of a booking before 24 hours from the pickup time.
    • 50% of the total rental amount will be refunded on cancellation within 24 hours from pickup time.
    • ₹500 will be deducted for swap/change of vehicle.
    • Cancellation refunds are credited within 7 working days from the date of cancellation.
